What the diagnostic actually inspects

Each Health Check inspects twelve categories: data integrity (Verify Data plus our own consistency checks), audit-trail size and growth rate, list bloat across customers, vendors, items, and accounts, orphaned and unmatched transactions, undeposited-funds residue, sales-tax-liability rollforward accuracy, A/R and A/P aging anomalies, bank-reconciliation drift on every reconciled account, payroll-liability accuracy against the underlying payroll items, attachment storage footprint, and total file size relative to the practical Premier or Enterprise ceiling. Every category is reported as a separate finding, ranked by impact, with concrete numbers attached so the recommendation is auditable.

How the report is structured for reviewers

The report is laid out so a reviewing partner can read only the executive summary and still walk away with an informed opinion. Page one ranks every finding by performance impact and gives a one-line recommendation per finding. Pages two onward expand each finding with raw counts, file-size deltas, and the specific remediation service that addresses it (with launch price quoted in Canadian dollars). The final page lists everything we explicitly looked at and found healthy, so reviewers see the negative-space evidence too — what is not broken is documented alongside what is.

What we will not do during a Health Check

The Health Check is read-only. We do not condense your file, remove your audit trail, merge any names, archive any transactions, or modify a single line of data on the source. The diagnostic runs against an isolated copy and the working copy is destroyed when the report is finalized. If a finding makes you want to act, the report names the specific remediation service in this Portal and links you straight to its order page — but the Health Check itself never touches the production file, which is why same-day turnaround is an honest promise instead of a stretch goal.

Do I have to act on every finding in the Health Check report?

No. The report ranks findings by real-world impact precisely so you can choose where to spend remediation budget instead of treating every finding as a must-fix. Most files end up with two or three findings worth acting on and a longer tail of cosmetic items the report explicitly tells you to ignore. We are not paid by the number of follow-up services you buy, so we do not pad the recommendations — the goal is the smallest set of fixes that returns your file to healthy.

How does the Health Check compare to QuickBooks Verify Data?

Verify Data inside QuickBooks runs an internal consistency check and either reports OK or surfaces a generic error code. The Health Check does the same Verify pass for completeness, then layers our own audit-trail, list-bloat, orphaned-transaction, sales-tax, payroll, and reconciliation checks on top, with concrete numbers attached. Verify tells you if the file is broken; the Health Check tells you why the file is slow, where the bloat sits, and which remediation moves the needle most.

Will running the Health Check change anything in my file?

No. The diagnostic is read-only. We open a copy of your .qbm in an isolated Canadian processing environment, run every inspection against that copy, write the report, and then discard the working copy. Your original .qbm on our processing host is retained for seven days in case you decide to follow up with a remediation service and is then permanently deleted. The file that lives in QuickBooks on your machine is never opened, modified, or rewritten by our team during a Health Check.

Can I use the Health Check as an audit-readiness step?

Yes — many practices buy the Health Check before a CRA submission, a year-end review, or a due-diligence engagement specifically to surface unflattering findings under their own control rather than discovering them mid-audit. The report is written so it can be handed to a reviewer as evidence of file integrity, with every healthy category explicitly named alongside the findings. If the diagnostic surfaces something material we recommend a specific remediation service in the Portal so the audit trail of work done is also clean.
