About This Service

Convert complex QuickBooks Enterprise files with advanced inventory, multi-currency, large list counts, or custom fields. Includes full data audit and integrity verification.

Overview

Complex Enterprise files have a way of compounding small inconveniences into a project nobody at the practice wants to take on. Advanced inventory, classes layered on top of locations, custom fields nobody documented, multi-currency that someone enabled three fiscal years ago and forgot, list counts brushing the Premier ceiling — each one on its own is solvable, but stacked together they turn a one-hour conversion into a week of triage. The Complex service in this NexFortis QuickBooks Portal exists for exactly that profile, and it is the same engineers, same audit trail, same money-back guarantee.

Where the Standard service simply rebuilds your data in Premier or Pro, Complex begins with a structured pre-flight: a full diagnostic over the source file to enumerate every advanced feature in use, identify list-count headroom against the Premier name caps, flag custom-field usage by transaction type, and quantify the audit-trail and inventory-history footprint. The diagnostic output is what we use to plan the conversion path — what to migrate as-is, what to flatten, and what to surface to you as a deliberate choice before processing.

Multi-currency in particular gets careful handling on a Complex job. Intuit treats multi-currency as a one-way switch inside Enterprise, so any legacy currency-tagged transactions need to be reconciled to a single home currency on the Premier or Pro side without breaking historical reports. Our process preserves the original transaction amounts, applies your chosen translation rule per source currency, and writes a parallel audit log of every adjustment so your reviewing accountant can see exactly which lines were touched and why, down to the journal entry.

Pricing for Complex is $100.00 CAD at the launch rate (regular $199.00 CAD) and the turnaround target stays under sixty minutes for the conversion itself, with the diagnostic running in parallel rather than adding to the clock. Files move over an encrypted upload tied to your Portal account, are processed inside our isolated Canadian environment, and are deleted seven days after delivery. The deliverable is a working Premier or Pro .qbm plus a written audit document that maps every non-trivial transformation back to the source.

After delivery you keep the entire Standard checklist — penny-perfect balances, list parity, A/R and A/P agings, sales-tax rollforward — plus the Complex-only audit document and a thirty-minute review call with the engineer who ran your conversion. The review call is the part most firms tell us they value most: a single conversation with the person who actually touched the data, not a support queue, walking through each non-trivial decision before you put the file in front of a reviewing partner or close out the engagement.

When to choose Complex over Standard

Pick the Complex tier when any of the following apply to your source file: advanced inventory is enabled (FIFO, lot/serial tracking, or bin locations), multi-currency has ever been turned on, custom fields are in use beyond the Enterprise default set, list counts on customers, vendors, items, or employees are within ten percent of the Premier 14,500-name ceiling, classes and locations are both in use simultaneously, or you have unit-of-measure conversions defined on inventory items. If the file matches none of those, the Standard service is the right fit and saves you the upcharge.

How we handle large lists and advanced inventory

Premier and Pro do not support advanced inventory, so any FIFO, lot, serial, or bin data has to be flattened into a structure both editions can carry forward without breaking historical reports. Our pipeline preserves quantity-on-hand and average cost per item exactly, archives the advanced-inventory metadata to a structured CSV that you can re-import if you ever scale back into Enterprise, and writes adjustment transactions on the converted file rather than back-dating quantity changes. The result is a Premier or Pro file that ties to the source and a clean off-ramp if requirements change later.

Frequently asked questions

How is Complex different from the Standard service in practice?

Standard runs as a fixed pipeline on a clean source file and ships in a single round trip. Complex begins with a separate diagnostic pass on your data, may pause for confirmation if the diagnostic flags an irreversible decision (collapsing currencies, dropping advanced inventory metadata, retiring deprecated custom fields), and finishes with a written audit document plus a review call. Same engineers, same delivery format, same .qbm output — but the work needed to land that output safely is materially larger, which is why the rate sits a tier above Standard.

What happens to advanced inventory data after conversion?

Premier and Pro do not have a place to store FIFO costing layers, lot or serial tracking, or bin locations, so we flatten that data into the historical record and archive the original metadata into a structured CSV that ships alongside the .qbm. Quantity-on-hand and average cost stay accurate on every item, ledger balances tie back to the Enterprise source to the cent, and the archive lets you reconstruct the advanced-inventory state if you ever migrate back up the SKU stack later in the company's life.

Can you keep my custom fields on customers, vendors, and items?

Premier and Pro support a smaller set of custom fields than Enterprise, so we map your existing custom fields against the destination edition's capacity and report any overflow before the conversion starts. Where the destination has room, the field name and per-record values come across unchanged. Where the destination cannot carry a field, we archive it to the same audit document we use for currency and inventory decisions, with the per-record values exported to CSV so a future tool can re-import them on demand.

Will the thirty-minute review call cover all my reviewers' questions?

The review call covers every decision the diagnostic flagged on your specific file, the verification numbers from our standard checklist, and any follow-up points your reviewing accountant raises in the days after delivery. Most firms only need a single call. If your reviewer surfaces additional questions inside the fourteen-day support window we answer them through the Portal at no extra charge — we do not run a per-minute meter on conversions, and we do not punt complex follow-ups into a separate paid engagement.

Is the Complex service still under sixty minutes end to end?

The conversion itself targets the same under-sixty-minute clock as Standard. The diagnostic that gates the conversion runs in parallel rather than in series, so it does not extend the wall-clock time you see in the Portal. The thirty-minute review call is scheduled separately at your convenience, usually within forty-eight hours of delivery, and is not on the conversion clock. If a diagnostic-flagged decision needs your input we pause and notify you, which can extend the total elapsed time but never the active processing minutes you are billed for.
