Overview
QuickBooks Desktop ships a built-in Condense Data utility, but it is famously conservative about what it will actually condense and aggressive about what it will silently break. Inventory items quietly get reset, payroll history trips it up, multi-currency transactions stop it cold, and on large files the wall-clock time often runs longer than rebuilding the file by hand would. Super Condense is the QuickBooks Data Services replacement for that utility — a same-day rebuild that collapses pre-cutoff transaction history into per-period journal entries while preserving every list entry and every account balance to the cent.
The mechanic is straightforward in concept and exacting in execution. You pick a cutoff date — usually the start of a recent fiscal year — and we collapse every posted transaction before that date into a single opening journal entry per ledger account, keyed back to a 'Pre-Cutoff Opening' control account so the audit trail of the collapse is itself documented inside the file. Every transaction on or after the cutoff date stays untouched and fully drillable. The trial balance on the cutoff date matches the source file dollar-for-dollar; we verify that as a non-negotiable gate before the file leaves our environment.
Lists survive the condense intact. Customers, vendors, items, accounts, classes, locations, employees, terms, payment methods, custom fields, memorized transactions, and memorized reports all carry across exactly. The condense touches transaction tables, not list tables, which is the structural difference between Super Condense and Intuit's built-in utility — Intuit's tool will sometimes drop names that have no post-cutoff activity, while ours never does because dropping a name is a List Reduction decision, not a Super Condense decision, and they are intentionally separate services in this catalog.
Pricing is $50.00 CAD at the launch rate (regular $99.00 CAD), GST or HST added at checkout, and the turnaround target is same-business-day during posted hours. The service runs on a copy of your file in our isolated Canadian processing environment; the deliverable is a working .qbm plus a verification PDF documenting before-and-after file size, before-and-after transaction count, the chosen cutoff date, and the trial-balance match at cutoff. We retain your original .qbm on the processing host for seven days post-delivery, then permanently delete it along with all working copies.
Super Condense is the right service when transaction history is the dominant size driver in your file — large practices with a decade or more of detailed posting history, multi-entity setups that have been running on a single file for too long, file sizes that are starting to approach the practical Premier or Pro ceiling. What gets condensed and what does not
Super Condense collapses every posted transaction dated before your chosen cutoff into a single per-account opening journal entry that ties back to a documented 'Pre-Cutoff Opening' control account. Transactions on or after the cutoff stay untouched and fully drillable — invoices, bills, payments, journal entries, sales receipts, payroll runs, the lot. List tables are out of scope: customers, vendors, items, accounts, classes, locations, employees, and every other list survive the condense exactly. The structural rule is that the service only touches transactions, never lists, which is why it never silently drops a name.
Verification and the trial-balance match
Every Super Condense delivery is gated by a hard trial-balance match: the trial balance on the cutoff date in the condensed file equals the trial balance on the cutoff date in the source file dollar-for-dollar, on every account, and the verification PDF documents that match line by line. We also confirm A/R and A/P agings as of cutoff, sales-tax liability as of cutoff, payroll-liability accuracy as of cutoff, and bank-reconciliation status on every reconciled account. If any of those checks fail the file does not leave our environment — we fix the gap or refund the order, never a partial delivery.
Why this exists separately from the built-in Condense Data
Intuit's built-in Condense Data utility is intentionally conservative about which files it will condense and known to behave oddly on multi-currency, advanced inventory, and payroll-heavy files. It also can take longer to run on a large file than rebuilding the file by hand would, with no progress visibility while it runs. Super Condense replaces that utility for the firms whose files actually hit the limits — same-day delivery, predictable wall-clock time, deterministic verification, and a clear refund posture if anything fails the integrity gate. How do I pick the right cutoff date for the condense?
Most clients pick the start of the most recent closed fiscal year, which keeps the entire current year fully drillable while collapsing the long tail of older history into the opening journals. Will historical reports still work for periods before the cutoff?

Reports that drill into individual pre-cutoff transactions no longer work because the underlying transactions have been replaced by the opening journals. Does Super Condense work on multi-currency or payroll-heavy files?

Payroll runs and tax deposits are collapsed at the per-account level, with year-to-date amounts on each employee preserved as of cutoff.
